Installation-ready handover files for overseas projects

A shipment is easier to install when every package can be traced to a room, item, drawing, hardware set, accessory list, and responsible supplier. Handover files should be prepared before loading, not reconstructed after arrival.

Create one controlled item register

Use stable item codes that connect the quotation, drawings, approvals, QC records, package labels, packing list, supplier records, and destination issue log.

Package the installation information

Depending on scope, provide approved drawings, room plans, cabinet elevations, hardware schedules, accessory lists, product manuals, finish references, assembly guidance, spare-parts records, and contact routes.

Define the handover boundary

Confirm who unloads, checks package count, stores goods, reports damage, coordinates local trades, interprets drawings, performs final adjustment, and requests replacement parts.

Are installation videos enough?

Videos can support the process but should not replace approved drawings, item codes, hardware lists, package labels, manuals, and written responsibility boundaries.

When should the handover pack be reviewed?

Review it before shipment release so missing drawings, labels, accessories or manuals can be corrected before the goods leave China.
